In-House Staff vs a Commercial Cleaner vs a Specialty Crew

Eastern Ontario facilities should split occupant tidying, contracted janitorial work and specialty restoration. Here is a decision tree that is not a sales pitch.

Three jobs people keep merging

Someone on staff wiping the lunch table is not a janitorial program. A night crew running a written room list is not a floor restoration company. A specialty crew with extraction or strip equipment is not your backup receptionist. Eastern Ontario buildings get into trouble when they buy one of these and expect all three.

This is a decision tree, not an article about why hiring a janitorial company is a strategic investment. You may still keep some work in-house. You should just name it.

The test is: who shows up, with which tools, how often, and what happens when they are on vacation.

Keep in-house when the task is occupancy, not production

Dishes, personal desks, locking a records room, and wiping a spill you just made are occupant work. Putting those on a night crew creates resentment and missed rooms.

A daytime porter in a busy clinic or school can make sense for washrooms at noon. That is still a defined job with hours. It is not “whoever is free.”

If in-house staff are expected to mop a 10,000-square-foot floor after their real job, you do not have a program. You have a hope.

Contract a commercial cleaner for the repeating building list

Washrooms, entries, floors, kitchens, and high-touch points on a cadence are production cleaning. They need backup coverage, products, and a scope. That is the commercial cleaning path.

Insurance, WSIB and screening belong here because these people hold keys. Occupant staff already have employment files. Contractors need vendor files.

After-hours access is usually why this work is contracted. Your bookkeeper should not be the 10 p.m. alarm code.

Call a specialty crew when the method changes

Extraction, strip and wax, grout restoration, fogging as an assessed method, and construction dust protocols need different machines and time. Putting them on the night list either damages the floor or never happens.

You can use the same company if they actually run both programs. You should still use two work orders. Mixing them is how the night visit disappears during a wax job.

If a salesperson says the nightly fee includes unlimited restoration, read the scope. Unlimited is not a method.

A one-screen decision

Is it a personal or occupant mess? In-house. Is it a repeating building list with keys and products? Commercial cleaner. Is it a different machine, a vacancy window, or construction dust? Specialty. If you are unsure, walk the site and write the room list first. The category becomes obvious.
