The first ten feet are the brand

A professional office can have clean workstations and still lose a client in the vestibule: salt on the tile, fingerprints on the entry glass, a mat folded over itself, and a reception counter with last week’s courier labels. This is not a productivity essay. It is presentation at the door.

Law, accounting, real estate and clinic waiting rooms in Eastern Ontario share this problem. Visitors wait where the soil is. They have nothing to do except look at the glass.

Put the vestibule on the nightly list with the same seriousness as the boardroom. If time is short, the door still comes first, not last.

Glass that is in reach, and glass that is not

Interior entry glass, sidelights and reception partitions are usually in a commercial scope. High exterior glass and storefront work at height is a different trade. Do not assume a night crew is quoting a bosun’s chair.

Write “interior glass within reach” if that is what you want. Fingerprints at handle height are a daily task. High interior panes may be weekly.

Products matter on coated glass. A leftover film looks like a smear in morning sun on a Kingston waterfront office. Specify a method if you have already had complaints.

Mats as equipment, not décor

A mat that is too small, soaked, or the wrong direction of pile will paint grit onto the lobby. Size it, dry it, vacuum it, and replace it when the backing is shot.

In winter, the mat is part of floor protection, not an optional rug. In summer, it still catches dust and wet umbrellas. Keep it in the scope year round and change the intensity by season.

If the mat logo is a brand item, say who is allowed to send it out for cleaning so it does not vanish into a generic runner.

Reception desks, seating and the waiting five minutes

Horizontal surfaces at reception collect dust that shows under downlights. Seating arms, table tops and the water station are high-touch. They belong on the same visit as the glass.

Magazines, toys in a waiting room, and a bowl of mints are occupant items. Cleaning should not be blamed for clutter the site refuses to reduce.

If the lobby is shared among tenants, the property manager must say who owns the scope. A ground-floor office should not inherit a mall’s public washroom by accident, or miss the vestibule because “that’s the landlord.”

How to write this into a nightly program

List: entry glass, handles, mats, first-run flooring, reception counter, waiting seating, and the public washroom if visitors use it. Give it a time budget so it cannot be skipped when the back office runs long.

Photos of the vestibule at 8 a.m. are a better KPI than a generic satisfaction survey. Walk it yourself one morning a month.
