When a Property Manager Should Add a Specialty Visit to a Nightly Contract

Nightly work cannot reset a worn system

A good commercial program in Belleville or Kingston will vacuum, mop, restock and wipe. It will not restore packed grout, worn floor finish, or a boardroom carpet that has been crushed for five years. Those are specialty visits with different equipment, chemistry and drying or curing time.

Property managers often try to squeeze restoration into the nightly fee. The night list then gets shorter and the restoration still never happens. Split the calendar.

Triggers that mean “book a project,” not “mop harder”

Finish is gone in the traffic lane. Grout stays dark after a clean mop. Carpet stays grey after vacuuming. Construction or a move left dust in tracks. A kitchen floor is sticky after the nightly degrease. Those are triggers.

Seasonal trigger: after winter, walk the vestibule in daylight. Salt damage is easier to see in March than in a January 9 p.m. visit.

Occupancy trigger: a new tenant, a clinic renovation, or a school break. Projects belong in empty time.

A simple annual skeleton

Keep nightly or weekly janitorial as the base. Add carpet extraction on a stated cadence for traffic areas. Add strip and wax only for floors that take finish, after assessment. Add grout restoration where ceramic is a public or kitchen floor. Add post-construction only when trades created that dust.

Write the skeleton with months, not vibes. “Spring floors, fall carpets” is enough to start. The walkthrough will adjust.

Budget the projects as their own lines so a tough winter does not silently cancel them.

Do not mix methods on the wrong floor

Read the floor-matching guide before you request wax on plank or extraction on a rubber gym floor that needs a different process. The specialty calendar is only as good as the identification.

Disinfection visits are also extras. They are not a substitute for grout restoration and they are not a nightly add without a product and a vacancy plan.

How to add a visit without rewriting the whole contract

Issue a one-time specialty quote against the existing site. Keep the nightly scope unchanged unless the project will alter how the floor is maintained afterward (for example, new finish that needs a different mop pad).

Use the specialty quote form and name the floor or the construction state. Photos in daylight.

Managers who run several buildings should put every site on one calendar even if start weeks differ. That is how nothing is “forgotten until it looks embarrassing.”
